Why gym members cancel

There are three signs to look for in the attendance history before someone cancels. Their visits drop, they switch class, and they stop replying. Each one calls for a different conversation, and all of them fit in one message.

Cancelling is the end, not the beginning

When someone asks to cancel, the decision has already been made. The conversation that can still change something comes earlier.

The conversation that changes something is the one you have when visits drop, and that moment is the hardest to see. In a list of one hundred and twenty people, whoever comes less is exactly whoever you see least.

The person who is leaving is invisible for the same reason they are leaving: they stopped turning up.

The three signs, in order

  1. 1.Visits drop. They used to come three times a week and now come once. The plan is still paid and the person is still on the list, so nothing triggers.
  2. 2.The class changes. They left the 18:30 class, where they knew everyone, and moved to 07:00, where they know nobody. It may be a change in their working hours, and it is the moment the routine breaks.
  3. 3.Silence. They stop replying to messages from the gym, and do not cancel. They keep paying for another month or two, which makes the cancellation look sudden when it was not.

All three are in the attendance history, and none of them is an opinion. They are counts, per person and per week.

What letting it happen costs

A person who cancels takes their membership with them, plus the cost of replacing them. Bringing in someone new costs time, a trial class and often an introductory discount.

660 euros

What one year of a 55 euro monthly membership is worth. That is what is at stake in a five-minute conversation, had in time.

And there is a cost that does not show up in the sum: the people who stay notice who stopped coming.

What to do with each sign

The answer to all three is the same, and it is small: a message written by a person. What changes is the timing.

  • When visits drop, the question is whether something changed in their schedule. If it did, there may be a class that suits them and that they do not know about.
  • When the class changes, what is missing is introducing two people. Knowing the faces in the class is a reason to come back, and a discount cannot buy it.
  • When it goes silent, the message asks whether they would like to freeze their membership instead of cancelling. A month on hold with their spot kept loses you a month; a cancellation loses you the year.

None of these is a sales conversation. All of them ask what changed.

How to see this without keeping it in your head

With a list, once a week: who has an active plan and has not come in for more than ten days. It is a question for your attendance records, and it returns a short list of names.

Each name is one message. That is half an hour on a Monday morning.

What to do on Monday morning

Half an hour, once a week. That is the whole exercise.

  1. 1.Pull the list of people with an active plan who have not come in for more than ten days.
  2. 2.Send each of them a message, written by you, asking what changed. It is not a campaign and it carries no link.
  3. 3.The following week, see how many came back. It is the only metric this routine needs, and it is enough.

In Rummo

The list is already made, on every plan. The follow-up screen shows who has not trained for weeks, plans that are ending and repeated no-shows.

It comes with the name, and whoever stopped training comes with their phone number, so you can call with one tap.

Frequently asked

After how many days without coming in should I worry?
It depends on the plan. For someone on two classes a week, ten days is already two weeks without coming. For someone on unlimited who came every day, five days already says something. The rule is to compare each person with their own history, rather than with the gym's average.
Isn't freezing a membership just losing money?
It is losing a month so you do not lose the year. And there is a practical difference: someone who freezes has a date to come back, and someone who cancels has to make the decision again from scratch.
Should I send automatic messages to people who stop coming?
An automatic notice works for things with a set time, like a spot that opened up or a plan about to end. For someone who is fading away, an automatic message is one more sign that nobody noticed them.
Is it worth asking why they cancelled?
It is. The easiest answer to give is lack of time. What says more is the date of their last visit, compared with the day they cancelled.
Why do gym members cancel their membership?
The request comes at the end. Before it, the attendance history shows three signs: visits drop, the person switches class and stops replying. A message from a person, asking what changed, arrives in time when it is sent at the first sign.
